Where the money disappears quietly
Small daily losses add up to massive yearly losses. Here's exactly where to look.
The math that matters

For every $100 in food sales, you should spend $28–$32 on ingredients. If that creeps to $35 without anyone noticing, on $50k weekly sales that's $78,000 lost per year.

Over-portioningAn extra ounce of protein on every plate every service costs thousands a week. Use a scale. Check it.
Spoilage & wasteFood that goes bad before it's served is money you paid for and never sold. Walk your walk-in daily. Rotate stock (oldest first).
Supplier price hikesIf your beef supplier raises prices and you don't catch it, your cost goes up automatically. Review invoices every week.

Your weekly habit: count your 10 most expensive ingredients every week. If the numbers don't match usage, something is leaking — find it before it compounds.

Unlike rent, labor responds directly to your decisions. Here's where it leaks — and how to stop it.
The math that surprises people

Labor isn't just wages. It's wages + payroll taxes + benefits + workers' comp. Always use the full number.

Labor cost % = Total labor ÷ Revenue × 100
Early clock-ins15 mins early, 3x per week, across 20 people = 15 hours of unbudgeted labor. Lock clock-in windows in your POS.
Unmonitored overtimeOnce they hit 40 hours you're paying 1.5x. Check cumulative hours by Thursday. Redistribute shifts before it happens.
Habit-based schedulingScheduling the same crew every Monday without checking sales patterns = overstaffed slow days, understaffed busy ones.

The overtime reality: 3 employees, 4 OT hours each, $16 base = $96 extra this week. Over 50 weeks? $4,800 — from just three people slipping over 40 hours.

Prime cost is the engine. These are the dashboard gauges that tell you how the whole car is running.
Average check sizeTotal sales ÷ guests. Raising this by just $2 — one dessert, one premium drink — goes straight to profit with zero added cost.
Gross profit marginWhat's left after food cost, before everything else. Target 65–75%. This pays your labor, rent, utilities — and hopefully leaves profit.
RevPASH — revenue per seat per hourYour dining room costs the same whether it's full or empty. Low at lunch = opportunity. High at dinner = protect that service quality.
Break-even pointThe revenue number where you stop losing and start earning. Every manager should know theirs — it turns a slow Tuesday from anxiety into context.

Information only works when it becomes a routine. Here's your simple weekly checklist — four things, every week.
Every week: enter your numbersSales, labor %, food cost %, overtime hours. 15 minutes. RH+ turns it into your health score and tells you what to fix first.
Thursday: check cumulative hoursWho's close to 40? Redistribute before the weekend. Prevent overtime before it happens — not after.
Weekly: count your top 10 ingredientsYour most expensive items — meat, seafood, liquor. If usage doesn't match counts, find the leak before it compounds.
Daily: walk the walk-inWhat's close to expiring? What was over-ordered? Catching spoilage early saves money. A daily habit saves thousands.
